To be graphic, or not to be graphic?

Start within a text only format that is accessible to all users and then expand to HTML (graphics enriched) or PDF files (Acrobat Reader) as advanced options. Note that HTML development will probably require added software, training or outsource support.

How long and how often?

The length and frequency of your e-letter depends on content quality; what you have to say counts. Opt-in readers are accustomed to monthly contact. If you want more frequency, you need a compelling reason to alert them, such as a change in your club’s meeting place or schedule. Five or six short articles and corresponding web links should do it.

Easy on the eyes

Stay away from CAPS! Be sure to write in a format that most PCs can read like 10 point Times, Helvetica or Courier font type and 60 characters across. Screen scroll should be limited and paragraphs short.

Be sensitive to tone and attitude

Be personal and informal, but also helpful, fun and informative. Receiving e-news from a real person (a letter from the president) vs. from a company will make a stronger impression. Allow users to unsubscribe from the opt-in list, and always be thankful and generous to your readers.
